Reading the tracker
The tracker is one row per locate ticket. The colour tells you where it stands; the ticket opens to show every utility's reply and the package your crew will use.
The row
- Waiting: the request is in and utilities have not all replied.
- Late: the legislated response window has passed and someone still has not answered. The ticket tells you who.
- Valid: every member notified has answered. The ticket is ready for your coordinator or the excavator to review and confirm the locate is complete and valid for the work, up to the expiry shown.
- Expiring and expired: the locate's validity is running out, or has run out. Time to relocate before the crew digs.
- Stop order, on hold, cancelled, completed: set by you, and the crew sees the same word.
Responses
Open a ticket to see one line per utility notified: what they said, when, and the document it came from. With Autopilot they are read from the email as it arrives and only the unclear ones come to you in the review list, with the reason already written. Pro runs Autopilot on 50 tickets a month and keeps going at $1.00 a ticket; Tracker includes 20 a month, after which your coordinator confirms each read unless per-ticket Autopilot is switched on in Company, Billing. On Mini your coordinator records them.
The package
When the last member answers, the package builds: the cover sheet, every response in order, every sketch. It is the one PDF the crew opens on site, and it is on their phone before they leave the yard. Revisions produce a new package and the old one is kept.
Custom fields and notes
Under Company you can add your own fields to every ticket (job number, foreman, cost code). They show on the tracker and in the package cover.
