The Monday.com connector
Your project managers schedule from a Monday board. Your coordinator watches the locates in Dig Window. The connector joins the two: each ticket's status lands on its row as soon as the row is found, and the completed locate package lands there the moment the last utility has answered. Nobody drags PDFs onto Monday any more.
It is an add-on at $149 a month on Tracker and Pro, included in Enterprise, and switched on under Company, Billing. Setup is five steps, about ten minutes, under Company, Connections. If you would rather we did the setup with you, it is $150 an hour; email support@digwindow.com.
Before you start
- One board, one column with the ticket number. Dig Window finds a row by the Ontario Dig Authority (One Call) ticket number, or by your project number if you file one row per job. The full number must sit in exactly one row, either as the row name or in a text or number column.
- A Monday token. Any full Monday member's token works; files and dates on your board then show as that person. Teams of five or more usually make a Monday user called "Dig Window" that can see only the locate board and use its token: Monday bills that user as one seat on your Monday plan (Dig Window does not charge for it), files show as "Dig Window", and the connection keeps working when a staff member leaves.
- Someone with the Company settings permission in Dig Window, usually your admin or lead coordinator.
The five steps
- Connect. In Monday, on a computer: click your profile picture (bottom left), then Developers, then My access tokens, then Show and Copy. Paste the token into step 1 and press Connect. Dig Window checks it and shows the Monday account it belongs to. The token is stored encrypted, is never shown again, and nobody at Dig Window can read it. A viewer or guest token is refused.
- Board. Pick the board your locates live on; only boards the connected user can see are listed. If your locates sit in one group and other groups hold rows with the same numbers, pick the group too; otherwise leave it on "whole board".
- Match on. Pick the column that holds the ticket number (or the project number) and say which it is. Then press Check with three tickets: Dig Window looks up your three most recent completed tickets and tells you whether each one finds exactly one row. Nothing is written by this check. If a ticket finds two rows or none, fix the board before you carry on.
- Write to. Pick the files column (required) and, if you want them, a completed-date column, a valid-until column, a status column, a text column for the package version and a link column that opens the ticket in Dig Window. The status column should carry these labels, in any case or spacing: Valid, Expiring, Waiting, Late, Stop order, Expired, Completed, Cancelled. A missing label leaves that status blank; nothing fails because of it. Press Save board setup.
- Turn on. Switch Send to Monday.com on. Until then nothing is written. Send the last 10 now puts your ten most recent completed packages on the board for a first fill.
What reaches your board, and when
- Status word and dates: once a ticket is matched to its row, and again each time the status changes. A ticket that is still waiting on a utility reads Waiting on the board, so your PMs see it before any file exists.
- The completed package: once every utility has answered, as a PDF named "ticket number - COMPLETE v1 - valid until.pdf", with the completed date (the day the last utility answered).
- A revised package (a second sheet, a relocate, a stop order lifted) is added beside the earlier file as v2, v3 and so on. The highest v number is the current one. Nothing is replaced and nothing is deleted.
- A stop order uploads as the next version and the status reads Stop order; when you record that the stop order was lifted, the next version follows and the status reads Valid.
What a ticket shows in Dig Window
Open any ticket and the Monday.com line in its details says where it stands. The same words appear in the tracker's Monday column, and the built-in view Not on Monday lists every ticket without a row.
- On Monday.com: the latest package is on the row. Open row takes you there.
- On Monday.com, no package yet: the row is found and carries the status; the ticket is still waiting on a utility.
- On Monday.com, newer version not sent: a revised package exists. It goes on its own shortly; Send now sends it at once.
- Sending to Monday.com: on its way.
- Not on Monday.com: no row holds the ticket number, or two rows do. Add the full number to exactly one row and it is picked up, or use Link to a row… to search the board and pick the row yourself. A hand-made link is recorded with your name, and Unlink undoes it.
- Could not send: the token was revoked or a mapped column is gone. The reason is on the line, with Try again.
- Monday.com is off: the Send switch is off, or the add-on has ended.
Under Company, Connections the status card shows the account the connector is signed in as, the board, the last upload, what is queued, and a Needs a look list of tickets that are not on the board. None of this ever appears in the review queue; the queue is for locate decisions.
Dig Window never guesses
A row is written to only when exactly one row holds the ticket number, or when a coordinator linked the ticket to a row by hand. If two rows hold the same number, or none does, nothing is written and the ticket says so. A package on the wrong job is a safety problem, not a filing problem, so the connector would rather tell you than guess.
What it never does
- Never creates a row on your board.
- Never deletes or replaces a file or a value. A new version is added beside the old one.
- Never reads your board into Dig Window. The connection is one way, and Monday never changes a ticket.
- Never sends a package before every utility has answered.
- Never shows your token to anyone, including Dig Window staff.
Changing your mind
- Switch Send off at any time; nothing more is written until you switch it back on.
- Disconnect forgets your token and stops sending. Files already on your board stay there; the board setup is kept, so a new token picks up where you left off.
- Remove the add-on under Company, Billing. It runs to the end of the period already paid for, then the connector goes off. Nothing on your board changes.
One connection covers one Monday account and one board, for your own company's tickets. A second board is a second add-on; email us for a quote if you need more than that. Another tool you would like Dig Window to feed? Tell support@digwindow.com which one.
