Who we are

Dig Window provides locate ticket management software for underground-infrastructure contractors. We operate in Ontario, Canada. Questions about this policy go to support@digwindow.com.

What this website collects

Very little. This site has no accounts, no forms, no advertising trackers, and sets no cookies. We count page visits with Vercel Web Analytics, our hosting provider's privacy-friendly visitor count: it records which pages are viewed, the referring site, and the country, browser and device type, without cookies and without identifying you. Our hosting provider and content servers also keep standard technical logs (IP address, browser type, pages requested) to deliver the site and keep it secure, as almost every website's infrastructure does.

If you email us

We keep your message and our reply so we can respond and follow up. We do not sell your contact information or share it with anyone outside Dig Window, except service providers that handle our email.

The Dig Window product

Customer data inside the Dig Window application (locate tickets, utility responses, documents, map data) is handled under each customer's agreement with us (the Customer Terms) and our Data Processing and Security Schedule, which describes where data is stored and processed and the categories of service providers we use; customers can ask us for the current list of providers by name. Our core hosting is in Canada (AWS Canada Central region). Some processing, and a backup copy of documents, may be outside Canada, as the Schedule describes.

People who use the Dig Window apps

When your company gives you a Dig Window account, we hold your name, work email address and, if your company adds it, your phone number and role. We also record when you sign in, which device and browser you use, when your field phone last synced, which tickets and packages you open or mark, and that you accepted the Customer Terms or the Field User Acknowledgement, with the version and time.

We use this to sign you in, show you your company's tickets, keep the service secure, support your company, and keep a record of what was accepted. We do not sell it, use it for advertising, or share it outside Dig Window except with the service providers listed in the Data Processing and Security Schedule. Your company can see its own users' activity in the app.

Your phone's location is used on the phone to show where you are on the map. The field app does not send your location to Dig Window.

Our database is in Canada. Some service providers (for example, email delivery, error reports and automated document reading) process information in the United States, where it can be accessed by courts and authorities under United States law.

We keep account information while your company's account is open. After an account closes, it is deleted with the rest of the company's data, as set out in the Schedule, except records we must keep to show what was agreed, for security or for legal reasons, which we keep only as long as needed for that purpose.

Our privacy officer and your rights

Dig Window's privacy officer is Manish Jeed, Director. You can ask to see or correct the personal information we hold about you, or ask a question or make a complaint, at support@digwindow.com. Where the information is part of your company's data, we may ask your company to answer with us. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

The Dig Window browser extension

"Dig Window for Ontario Dig Authority (One Call)" is a browser extension for Chrome and Microsoft Edge, for coordinators at companies that subscribe to Dig Window. It runs only on the Ontario Dig Authority locate portal (portal.ontariodigauthority.ca, and the former portal.ontarioonecall.ca address while it still works) and the portal's own map (oda.firstbasesolutions.com, formerly ooc.firstbasesolutions.com), in the coordinator's own signed-in portal session. It reads the locate-request pages for that company's own tickets (the dig-area polygon, the address and dates, and the member notification list) and sends them to that company's Dig Window account so the dig zones appear on the company's field map. When the coordinator opens the portal, it opens, in the background and in the same session, the pages of the company's tickets that do not have a zone in Dig Window yet; when the coordinator presses Import, it also reads that company's own request search results for the last 30 days. From version 0.2.8, for companies on a plan that includes it, the extension also draws that company's own existing dig zones (from its Dig Window account) as outlines on the portal's map while the coordinator draws a new request; to do that it sends Dig Window the map's visible area and receives the company's own zones back, and nothing from the portal. It never submits or files a locate request. The only thing it ever types into the portal is a Dig Window planning key in a new request's Project # field (or Additional Information), and only when the coordinator clicks to add it; the coordinator then reviews and submits the request. It never reads any other website, and never sees or stores the coordinator's One Call password.

The extension signs in with the coordinator's Dig Window account (an emailed one-time code) and keeps that session token in the browser's extension storage on the coordinator's own computer, together with a short local log (30 days) of which tickets it has pulled and, from 0.2.8, the coordinator's own on/off choices for the zone outlines. Signing out removes it. No analytics, no advertising identifiers. Ticket data is sent only to Dig Window's own servers (hosted in Canada). The one other thing the extension sends is an error report, to our error-monitoring provider (United States), when something in the extension itself fails: the error text, the extension version and whether the browser was online, never the coordinator's email, name, sign-in token or any ticket or portal data. Uninstalling the extension removes everything it stored.

Data the extension sends is customer data inside the Dig Window product and is handled under that customer's service agreement.
